The Events Assistant Role

From client liaison to venue sourcing the Events Assistant will support the team in the organisation of the international business summits both online and live.

Working closely with the Event Managers, the Events Assistant will be responsible for the following:

-        Helping research and shortlist new venues, AV companies and other suppliers for upcoming summits

-        Liaising with speakers in the run up to each summit, gathering photos, biographies and presentations

-        Sending out session guidelines to moderators and setting up panel preparation calls with moderators and speakers

-        Supporting the business development team with client liaison, chasing in logos and corporate profiles, and registering delegates and guests

-        Assisting in the set-up of the virtual event platform and 1-1 meeting software, and keeping this up to date in the run up to and during the summit

-        Building and managing the registration site for each summit, processing new registrations, updating details where needed, and pulling regular reports and data

-        Proof-reading delegate lists in Cvent, creating branded delegate lists for the sales team to share, and organising badge printing

-        Formatting summit presentations and managing speakers and presentations on the day of the summit – whether live-streamed or in-person

-        Helping to run each event on the day, including set-up, registration, managing delegate queries, venue liaison and AV liaison

-        Pulling post-event analytics from the summit platform to support the business development team with client reports

-        Helping with the day-to-day running of the office, ensuring that the office is equipped with stationery and kitchen supplies and other administrative tasks

-         Help to run events on the day as a key part of the events team

3. Strategic and tactical planning

-   Responsible for managing resources on own accounts, liaising with AD/OD and identifying where there is a need for additional freelance support as required

-   Prepares and manages project timeline and ensures deadlines are met

-   Plans and manages photo shoots, film and radio production

-   Responsible for the day to day communications regarding the progress of accounts

-   Contributes to finding solutions to problems and thinks creatively about how to tackle projects

-   Confidently makes decisions, taking accountability for decision making and ownership of work tasks

 

 

4.  Financial acumen

-   Demonstrates good business sense and the ability to work within budgets

-   Prepares quotations and sources estimates for outsourced services with support from Business Development Manager (or AD/OD)

-   Manages external resources and tracks costs e.g. media planners and strategists

-   Closely monitors timesheets to ensure account profitability

-   Keeps an accurate record of own time spent on client work via timesheets

-   Shows accuracy and attention to detail

-   Produces and submits invoices to clients in a timely manner

-   Demonstrates project management skills and awareness of efficient use of studio resources and time

 

5.   Brand market/company knowledge

-   Comprehensive understanding of clients’ business and actively seeks opportunities for further account development

-   Encourages staff and all specialist partners to integrate emerging technologies into client recommendations

-   Demonstrates thorough understanding of key industry trends

 

6. Creative contribution/advertising savvy

-   Assists the Creative teams, to formulate marketing strategies

-   Evaluates creative work and provide constructive comments

-   Sells the creative product to the client
