The Events Assistant role is very varied with the key aim to support the team in the organisation of their international business summits. In the past year all of these events have been run online and they have built a very successful virtual event platform.

The Events Assistant Role

From client liaison to venue sourcing the Events Assistant will support the team in the organisation of the international business summits both online and live.

Working closely with the Event Managers, the Events Assistant will be responsible for the following:

-        Helping research and shortlist new venues, AV companies and other suppliers for upcoming summits

-        Liaising with speakers in the run up to each summit, gathering photos, biographies and presentations

-        Sending out session guidelines to moderators and setting up panel preparation calls with moderators and speakers

-        Supporting the business development team with client liaison, chasing in logos and corporate profiles, and registering delegates and guests

-        Assisting in the set-up of the virtual event platform and 1-1 meeting software, and keeping this up to date in the run up to and during the summit

-        Building and managing the registration site for each summit, processing new registrations, updating details where needed, and pulling regular reports and data

-        Proof-reading delegate lists in Cvent, creating branded delegate lists for the sales team to share, and organising badge printing

-        Formatting summit presentations and managing speakers and presentations on the day of the summit – whether live-streamed or in-person

-        Helping to run each event on the day, including set-up, registration, managing delegate queries, venue liaison and AV liaison

-        Pulling post-event analytics from the summit platform to support the business development team with client reports

-        Helping with the day-to-day running of the office, ensuring that the office is equipped with stationery and kitchen supplies and other administrative tasks

-         Help to run events on the day as a key part of the events team

The Events Assistant Candidate:

You will be self-motivated with an ability to work well in a fast-paced environment. Confident with technology is a MUST.

This is a busy, varied role and the ideal candidate will be bright, energetic and highly organised, with the following skills:

- Customer relations - we believe that building strong relationships with our speakers, sponsors and delegates is essential to our future success

- Project management - with an ability to organise and prioritise a variety of tasks

The Event Marketing Executive Role:

Working closely with our Marketing Managers and Director, the Marketing Executive will be responsible for the following: This is a busy and varied role, responsibilities include:

 

·      Help develop the brand design and core sales messages for each conference they work on

·      Keep the conference websites up to date with fresh content and information

·      Write, design, build and deliver high-impact, content-rich email campaigns to our network

·      Select, negotiate and manage marketing partnerships and relations with industry associations and media

·      Liaise with speakers and sponsors to endorse and market our conferences to their networks

·      Create and manage industry-relevant content including case studies, influencer interviews, webinars, infographics, photography and video

·      Oversee the design and print of conference brochures and on-site materials including signage and banners; liaising with external design, production and print suppliers

·      Develop the in-house marketing database for each conference and manage an external database research agency

·      Attend and help run the conferences as a core part of the event team

 

The Event Marketing Executive Candidate:

The Conference Producer Role

The Conference Producer will research and produce the speaking programmes for their international business summits focused on investment in sustainable technologies, including water, food and agriculture.

·       Conduct online and telephone research to identify the issues, challenges and opportunities within a specific clean-tech investment sector

·       Write an engaging agenda for the conference, and invite and secure high-profile speakers for your programme

·       Work closely with the sales and marketing teams to ensure we maximise the number of sponsors, exhibitors and attendees at your events

·       Write promotional and marketing materials, including web content, brochure and emails

·       Travel to and co-manage each conference on the day, looking after speakers and ensuring the smooth running of the presentations and panels

 

The Conference Producer Candidate:

Ideally you will be commercially savvy with experience in conference production and/or Research, PR or Journalism.  Strong academics are essential, as is the “presence” to be able to introduce speakers onstage (or online as it is at the moment!).

 

Skills and Experience

·       Strong academic credentials: Min 2:1 at degree level

·       At least two years’ commercial experience: Conference production experience is ideal, but experience within journalism, PR or research would be a good background for this role

·       Research skills: The ability to quickly get up to speed with new topics and identify the key issues and players within each

·       Commercial acumen: An understanding of what makes a conference work, and how we can create events which generate real business opportunities for our audience

·       Excellent communications skills: The ability to connect with CEO-level business leaders by phone and in writing, and to create persuasive marketing copy

·       Project management: Self-motivated and organised – able to plan your own time to complete a project to tight deadlines

·       Strong interpersonal skills: The ability to work within a close-knit team and to inspire and motivate your team-mates

The Marketing Assistant Role:

·       Upload new content to the event websites, including blog posts, images and agenda 

·       Edit photos and biographies to the company style

·       Proof-read and check all websites regularly to ensure they are accurate and up to date

·       Keep up to date with SEO, web analytics and tools and implement improvements 

·       Create graphics in Canva for use in email campaigns and social media

·       Liaise with external graphic designer as needed for graphic templates, brochure updates 

·       Support our social media campaigns by monitoring industry news and partner/influencer activity, gathering internal news from the team, writing and programming content

·       Assemble content for brochures, programmes and web stories, following up with speakers and sponsors by telephone where needed

·       Format summit presentations in power-point and help manage presentations on the day 

·       Issue press invitations to journalists, and follow up on post-event articles

·       Gather data from relevant associations/competitor events to build our internal database

Your job will consist of CRM & Data management to find & qualify the best, most senior candidates within the industry and then using telephone & email communication to convert these leads into paid registrations for the Summit. Delegates are director-level, and based globally, so an ability to sell to senior, international contacts, in an effective and efficient manner, is a must.


What you will do:

· Follow up inbound leads and enquiries and convert to sales

· Identify and account manage past multi-buyers and key customers

· Build, operate and maintain a sales database

· Work directly with the marketing team to generate new leads

· Develop the portfolio of products and Identify new business opportunities

Eventually, you will specialise and become an expert on a specific Industry.
